AGM 2010 - Meeting began at 7.35

3. Officers reports:
Competitions secretary:
Johnnie reported that all competitions went well and the 3-man league in the summer was again a success. There had been a poor turnout for the opening rounds of the singles and doubles but the mixed doubles had been a particularly successful night.
A suggestion was made that venues for Division 1 and Division 2 should be alternated between the Q club and the Snooker Club. After discussion it was agreed this would be taken into account whenever possible.
Results secretary:
Mick said the only problems over the season had been with late and/or non-existent score sheets. This would be discussed later under proposed rule changes.
Treasurer:
Carol reported that we end the 2009/2010 with just under £1200 in the bank. All teams paid on time last year and so accessed the £10 discount. An end of year budget sheet was available if anyone wanted to see it.
Secretary:
Carol reported that minutes had been made available for the 2 meetings held last season on 14th September and 15th March. Trophies were purchased at a cost of £875 and were presented on finals nights. They seemed to be well received.
Chair:
Marcel identified there had been one spot of trouble in the middle of the season, which had been sorted out quickly by the committee and persons concerned.
Marcel acknowledged the amount of work done by all the committee but in particular wished to single out Mick without whom the league would not run. Those present supported this.

4. Election of officers

Members were asked if anyone wanted to stand for election.
It was proposed that all present committee members remain in post and unanimously agreed.
All the present committee members accepted.




5. Proposed rule changes

a) Teams that do not field a team twice in a season should be automatically dropped from the league, with consideration to be given for re-entry in future seasons. Late notification would not be acceptable. 3 players or more to be considered a team.

Clarification was sought as to the precise meaning of 'late notification'. After much discussion it was agreed this should be 3pm on the day of the game for league games only. This will not apply to competitions.
It was pointed out that all venue numbers, team captain names and vice captain names are available on the pool web site.
It was proposed that all captains should have a list of all other captains' phone numbers. Those captains present at the meeting were happy for numbers to be shared amongst all captains.

b) It should be the responsibility of the HOME team to send in results by Tuesday 7pm. Away teams should make a copy of the result sheet in case of problems It was pointed out that the league had changed from home team notifying initially because one or two teams were deliberately losing sheets.

c) If two results sheets do not reach the results secretary at all, exclusion from the league should be considered for the remainder of the season. This was no longer required following the decision made for b above. Review next season.

d) Teams that comply with all requirements for the 2010/2011 season should receive a financial reward for the following season only in the form of half price fees (this would not be annually)

Whilst the idea behind the proposal was good, it was suggested that as the venues pay the fees, individual players may not see this as an incentive.
Alternative suggestions were then made for the use of present funds included higher remuneration for committee members, funding another presentation night or making a donation to a local charity.

Proposed AM Seconded MK: A set amount is given to the Blue Cross Felixstowe this season.

Unanimously agreed.

Treasurer will designate amount and contact local papers to publicise the event.

The initial proposal was not carried.


e) Entry for Ladies Night to be added to the competition registration form so that limited entries can be identified early.

This was unanimously agreed.

f) Ladies eligibility for competitions to be the same as men - ie must have played ONE match.

This was unanimously agreed.

g) There should be a minimum of 4 players for a competition to be held.

This was unanimously agreed for all competitions.

h) Re-introduce 2 point win bonus and 1 point bonus for a draw

Two for, majority against. Motion not carried. Points will remain the same as before

i) Consider running the summer 3 man league as a charity competition using the old charity trophy as a team prize if it can be found or purchasing a new perpetual trophy. Each team will collect £1 per player per week, the total being given to a designated charity/charities at the end of the season.

This should be decided by the teams who enter the 3 man summer league as it is not officially part of the Felixstowe Pool League.

j) Doubles competitions be changed to scotch format

This was voted against last year. T pointed out that scotch format would lengthen an already long evening!

Teams who do not pay by this date must pay the full fee of £70


NB Payments can be made at any time up to the 11th October directly to the treasurer at 4 Treetops.

Season will start Sunday 26th September.
